No matter if you’re holding an in-person meeting in your boardroom or a remote board meeting from your home, there are some essential tips that will help your meetings run smoothly and efficiently.

Punctuality and preparation — getting up on time and making sure that board members have all the materials they need ahead of the meeting is a great way to start. Having clear, well-written agendas and dispersing them prior to the meeting will help keep the discussion focussed on the important points to be discussed.

Don’t waste time reading reports — Long reports can quickly drown out board discussion. Discuss only leadership and committee reports during board meetings when they are needed to make decisions or provide oversight. The rest can be discussed by email or in smaller meetings.

Limit the discussion about the features of products and roadmaps. A company’s direction shouldn’t be defined by what a CEO believes the market wants. If you need to talk about products, consider the reason you are taking certain directions. This will help you stay on track and will help avoid the “Enron effect” in which the board is too detached not to see any problems forming underneath the surface.

Keep candor breaks within the schedule. These brief silences allow board members to discuss issues they are uncomfortable discussing in front of their peers. These breaks are frequently required to ensure that all opinions are heard, and that they feel comfortable expressing themselves.
